Background:
The International Committee of the Red Cross (ICRC), an impartial, neutral, and independent organization striving to protect and assist the victims of war and internal violence, has been working in Sudan since 1978. The ICRC is looking for an enthusiastic and motivated person to fill the position of Administrative Assistant 2 in Khartoum.
Purpose:
Administrative Assistant 2 provides complex secretarial and/or administrative support. Is responsible for all office work related to Prosthetic and Orthotic education program as well as taking part in administrative tasks related to the Physical Rehabilitation Program.

Duties and responsibilities:
- Assist ICRC training coordinator to Implement, monitor and organizes trainings.
- Initiates, organizes, and provides secretarial and administrative duties for the Prosthetic and Orthotic education program.
- Helps in the preparation, organization and correction of the exams and lectures. Also, keeps the students, teachers, examinations files in order and updated.
- Helps in the preparation, follow up and updates of the timetable and in charge of the journal for attendance & progress of the lessons (preparation and follow-up and presents the journal daily to the teachers for signature of each given lessons.)
- In charge of students' class attendance, lessons registration progress report and preparation of follow up;
- Organize the classification and filling of documents related to training activities and keeps the library well organized and in order
- Prepare, print, distribute and file all training document (training manual, handouts, training evaluation forms, training certificates, end of training reports, etc.) after approval by Training Coordinator.
- Liaison with NAPO, Ministry of Higher Education and Al-Neelain University for matters related to the PO education program.
- To organize meetings with NAPO, AU and other institutions.
- Takes minute of meetings and Reports
- Focal point for Correspondence: International Society for Prosthetists and Orthotists (ISPO), Federation of African Professionals for Rehabilitation (FATO) and other Training Institutions.
- Follow-up the employment Contract of the PO education program Students’ through NAPO, organizing clinical Placement for and administrative procedures pertaining deployment.
- Helps and assist the training Coordinator to develop and maintain good relations with partners (NAPO, Ministry of Higher Education and Alneelain University)
- Contributes actively to the flow of information within the PRP department.
- Secretarial duties including: Filing documents (electronic and paper), Handling incoming and outgoing mail, relating to the PRP and providing translation where necessary.
- Drafts and prepares ICRC institutional reporting ((Monthly Statistical Report (MSR), Monthly highlights, Planning for Results (PFR), Time Report (TR), Ministry of Foreign Affairs (MFA)) based on deadlines given and contributes to the PRP yearly report if required.

Minimum Qualification, Skills and Experience Required:
- Bachelor’s degree, some College Coursework Completed, an Associate Degree or equivalent higher education degree in business administration, finance, management or economics
- 4-6 years’ experience in administration, office or service management, client or public relations, or in a field related to the work of the department
- Advanced Conversational in English and Arabic
- Expert in computer knowledge
- Skilled in the following competencies: Communication (written and verbal), Negotiation, Representing the ICRC, Planning, Organization & Assessment; Responsibility & Autonomy
