 Duties and responsibilities:

Driving

  • Drive vehicle for official travel and business, or as requested by Representative
  • Maintain high standard of service to both internal and external guests.
  • Ensure punctuality and safe transport;
  • Observe the road and traffic laws and regulations of the Republic of the Sudan.
  • Ensure that safe driving practices are adhered to including local driving codes andinternally agreed standards.
  • Advise staff to wear seatbelts while on board of the vehicle at all times and ensure that no non-Plan passengers are not transported unless authorised by management /convoy leader.

Car Security & Maintenance

  • Keep the vehicle clean, tidy and in good working condition at all times
  • Secure the vehicle at all times during travel and while parked.
  • Establish a regular/day-to-day maintenance checks to the assigned vehicle: check oil, water,battery, brakes, tyres, etc.
  • Facilitate vehicle repairs and ensure repairs are carried out properly by official manufacturer’s specifications.
  • Perform minor repairs and arrange for other repairs, prepare vehicle spare partsinventory.
  • Prepare and submit vehicle monitoring report, including records of vehicle operations,maintenance, expenses, mileage, at end of each month
  • Assist the Admin Officer to ensure vehicle insurance and registration is updatedaccording to schedule.
  • Provide support to the fleet supervisor during preparation of annual budget for vehicle
  • Assist in the purchase of new vehicles as required

 

Car Logbook maintenance

  • Log official trips, daily mileage, gas consumption, oil changes, etc.;

 

Administrative works

  • Provide assistant to the Logistics and Security Coordinator in the time working at the office, includingbut not limited to:
  • Facilitating immigration and customs formalities as per requirements
  • Photocopy, file, handle mail, delivering goods and correspondences, carrying parcels, packages, and delivery and collection of official documents as per required
  • Assist in the organization and maintenance of  the library system; arranging meetings, training and workshop activities
  • Maintain office storage facility/garage (ensuring it is clean, secure, dry andorderly tidy)

 

Dealing with Problems:

Application of knowledge required for the role, complexity of problems handled & the degree of investigation, analysis, & creative thinking required to solve them

 

Communications and Working Relationships:

Working contacts inside and outside the organization; include the purpose and level (high, medium, low) of the contact

  • Participate in external workshops, working groups, training and other meetings relevant to Plan International safe driving standards.
  • Establish appropriate information-sharing relationships with staff in similar positions within other INGOs and car rental companies.
  • Manage Plan International relationship with other drivers/car rental companies ensuring driving standards, passenger safety requirements and driver courtesy and punctuality is achieved.
  • Participate and advocate for child and Youth rights and safeguarding to other staff in similar positions and to the wider community.
 Minimum Qualification, Skills and Experience Required:
  • At least 10 years of experience working with INGOs or UN agencies.

Knowledge

  • Understanding of transportation law.
  • Good traffic judgment.
  • Good knowledge about car mechanics.
  • Knowledge of the location of governmental institutions, international organisations, airline offices, hotels and restaurants.
  • Knowledge on operation and maintenance of the office equipment

 

Skills

  • Excellent driving skills
  • High-level interpersonal and communications skills.
  • Arabic; English speaking or writing preferred.
  • Ability to work in a challenging, post-conflict complex environment.
  • Computer literacy and familiar with Microsoft word and excel package.

Physical Environment and Demands:

This is a Khartoum based, full-time position with regular and extensive travel to Plan International program areas in Sudan (maximum 80% of time for driving).

  • Willing to work long and irregular hours, shift duty and on public holidays as required.
  • Willing to take regular and extensive travel to Plan International Sudan’s project areas in provinces.
