Description

Established in 1944, the WBG is one of the world’s largest sources of funding and knowledge for development solutions. In fiscal year 2018, the WBG committed $67 billion in loans, grants, equity investments and guarantees to its members and private businesses, of which $24 billion was concessional finance to its poorest members. It is governed by 188-member countries and delivers services out of 120 offices with nearly 15,000 staff located globally.

The WBG consists of five specialized institutions: the International Bank for Reconstruction and Development (IBRD), the International Development Association (IDA), the International Finance Corporation (IFC), the Multilateral Investment Guarantee Agency (MIGA), and the International Centre for the Settlement of Investment Disputes (ICSID). The World Bank is organized into six client-facing Regional Vice-Presidencies, several corporate functions and thirteen Global Practices to bring best-in-class knowledge and solutions to regional and country clients.

Assistance to the EA and Front-Office:

• Use desktop processing skills to produce complex texts, reports, figures, graphs, etc according to World Bank formats and standards.
• Work closely with the Executive Assistant to assist the Country Manager, Trust Fund Program Manager and Operations Officer in planning and organizing Donor and Partner meetings/briefings/presentations.
• Attend meetings, draft minutes, letters (using proper grammar, punctuation and style) and ensure timely clearance and distribution.
• Translate a variety of documents and News articles published in Arabic.
• Provide back-up support to other ACS in the Country Office.
• Provide Administrative and logistical support to the Country Manager and Operations Officer in planning/preparing Senior Management Visits.
• Assist the Country Manager and Operations Officer with Knowledge Product dissemination activities.
• Assist the Trust Fund Program Manager with trust funds and donor relations.
• Handle short-notice assignments as required.
• Serve as the point person to organize events, retreats, seminars and workshops.
• Demonstrate impeccable standards of integrity when handling confidential information.
• Place orders and ensuring proper recording of and reporting on trends of office supplies.
• Assist in editing and formatting reports/presentations using relevant software.
• Provide basic research support to teams upon request.
• Liaise with counterparts in key client offices to facilitate the scheduling of meetings.
• Perform other ad hoc tasks as may be requested.

Coordination of Operational Trips:

The incumbent is expected to keep track of all operational trips incoming and outgoing. In carrying out this job, the incumbent is expected to do the following:

• Develop and monitor a Staff tracking report for all operational missions within or going out of the country and present report to CM weekly
• Keep a close tab on all visiting staff and ensure that any issues are promptly reported to the Country Manager and Operations Officer.
• Liaise with the Security Specialist, Office Admin. for Security and the Trip Coordinator to ensure that legitimate logistics needs of visiting staff are always met.

Assistance to the RM Analyst:   

Proactively assisting the Resource Management Analyst with the following:

• Handling local purchasing of supplies (including printing); equipment and contracts for services.
• Managing insurance-related issues, updating the Country Office Insurance Schedule of local and foreign properties and motor vehicles in SAP.
• Procuring and/or renewing local insurance policy.
• Entering Bank assets in SAP Asset Register and ensuring that new acquisitions are promptly posted in SAP.
• Conducting regular annual reconciliation of Country Office Assets/Inventory records.

• Serving as SAP Transactions Processor for AFMSD. Assisting the teams with preparation and follow-up of admin portal requests for STCs/STTs.
• Serving as AFMSD TRS/LARS coordinator and monitor leave plans.
• Processing of Import/Export Exemption certificates for the Country office and Staff members relocating to Sudan Office (IRS), from the Ministry of Foreign Affairs, Agriculture, and the Department of Customs and Excise on behalf of the World Bank.
• Liaising with designated clearing agents to ensure early clearance of equipment, machineries, furniture and other assets for the Country Office.
• Assisting with Asset and inventory management: assisting the RM Analyst in conducting at least one mandatory annual inventory check / update of the Country Office and residential premises furniture and equipment inventory items (in compliance with corporate guidelines)
• Working with the Security Specialist and RM Analyst to periodically update critical security documents such as Crisis Action Plan, Emergency Relocation and Evacuation Plan, Staff and Family Data List, etc….
• Maintaining and updating records of all security equipment in the CO such as visiting missions cell phones, satellite phones, VHF radios and HF radios, etc.
• Assisting with any other administrative, security or protocol-related duties as may be assigned by the Country Office RM Analyst.
• Ensuring contracts for the procurement of all goods and services required for the optimum operation of the office are in place and well documented.
• Ensuring premises fitness for purpose integrity exercises are conducted routinely as scheduled, to include all daily, weekly, quarterly, bi-annual, and or annual schedules) to include fire, life and safety (FLS), fumigation, electrical systems, water pressure pumps, UPS, Central Stabilizers, inverters, ACs, generators, fuel pumps and tanks etc. and accurate records and reports are made to the Country Manager.
• Maintaining open and effective communication with colleagues working with RM, IT, clients and contractors.
• Maintaining Logs for water, electricity, diesel, and car petrol usage for reporting the carbon footprint annual survey.

Other Duties:

• Perform ad-hoc duties as assigned by the Country Manager

Selection Criteria

• Minimum bachelor’s degree and at least 3 years of relevant experience.
• Previous experience with a multilateral/bilateral organization is an advantage.

Note: The selected candidate will be offered a one-year appointment, renewable for an additional one year, at the discretion of the World Bank Group, and subject to a lifetime maximum ET Appointment of two years. If an ET appointment ends before a full year, it is considered as a full year toward the lifetime maximum.
