 Background:

Background:

The Volunteer department in SRCS provides leadership and facilitates the processes that ensures a well-coordinated, strategic, adequate, coherent, and effective response by the volunteers of SRCS Sudan. The Information Management Officer (IMO) reports to the Volunteers Development Coordinator. He/she will be responsible toestablish a good volunteer’s management system that ensure an adequate friendly and sustainable web/mobile application based system including Volunteer Database Management System (VDMS).

The typical educational attainment for information management officer is a degree in information technology, computer science, or database management. Also, he/she must also possess adequate knowledge of databases, information management systems, and the society's methods on policies on handling data.
Purpose of the Position:

The information management officer (IMO) should work for SRCS with the responsibility to handle the processing, storing and distributing of relevant data to all stakeholders insuring the safety and security of the data of SRCS.

To maintain volunteers’ data base system operating well, sustain its update and developmentensuring its effectiveness and efficiency to provide adequate timely and accurate information for the society thatenhancing volunteers work in achieving SRCS ultimate goals.
The information management officer will also be responsible for developing information systems, implementing new strategies, handling different data types, preparing documentation and generating reports.IMO can be deployed as both information management officer and volunteers’ coordinator assistance. Apart from this primary duty assists in the development of the unit plans, implementation, monitoring and reporting.

 Duties and responsibilities:
  • Establish timely and effective data collection and management system to support the department to manage and categorize the volunteers of SRCS in planning and programming (overall information management strategy).
  • Determine priorities in information management system and lay out strategy/ work plan to build effective bio data or profile data to support volunteers management and
  • Design necessary data collection forms, ensuring that the purpose and use of data collected is clear and that questions are simple, clear and collectable.
  • Organise and manage data input from data collection forms and conduct initial analysis of the data. Initiate and create more user friendly and clear reporting materials.
  • Prepare necessary information to the manager of VolunteersDept.to address critical needs.
  •  Maintain data and information sharing relationships within SRCS -HQ and branches as well as SRCS partners.
  • Prepare dashboard/ info graphic as appropriate to support information needs for volunteer’s management.
  • Use GIS or online mapping platforms as available to produce or facilitate maps/info graphics of locations and activities of the volunteers in Sudan.
  • Develop and strengthen information management capacity of volunteers in Sudan by conducting trainings and workshops /orientations and events all over Sudan.
  • Continuously review the existing information management system against changing situation and information needs.
  • Provide input to draft submission the unit reportsandplans and present within the society and SRCSpartner.
  • Conducting frequently field missions to monitor volunteers’ management systems and activities as required
  • Maintain branch-oriented approach that ensures the branches are provide high quality information management services of their volunteers and products to the HQ.
  • Perform other duties as assigned by the Head of the volunteers unit.
 Minimum Qualification, Skills and Experience Required:

Education:

  • Education: Bachelor of Computer Sciences, informationmanagement or database management.

 

Experience:

  • A minimum of 3 years of relevant working experience in information management, database.
  • Excellent knowledge and programming skills particularly Bio data base systems using web based applications and programming languages.
  • Proven and demonstrable knowledge and experience in statistics, data analysis and/or information management.
  • Ability to present information in understandable, effective and visually appealing tables, charts, graphs, maps, visuals and reports (such as snapshots, dashboards, gap analysis, etc.).
  • Ability to use a logical and structured approach to collate, manage and synthesize both qualitative and quantitative information through different data collection methodologies.
  • Experience working withdatabases, MS Office software, knowledge of analytical software packages, Excel Macro, MS Access.
  • Excellent written and oral presentation skills.
  •  Excellent networking and representational skills at all levels, which may include Government bodies, UN agencies, IFRC Movement and INGOS.
  • Experience working with GIS is preferable.

 

Language Requirements:

  •  Fluency in English and Arabic language.
