Description

Cooperazione Internazionale (COOPI) is an international Italian NGO established in 1965. Since its establishment, COOPI has been undertaking activities to help and empower the poor and needy in different countries. COOPI Sudan started its operation in 2004 and has been primarily implementing emergency, relief and early recovery programs in water hygiene and sanitation, food security and livelihood, nutrition and protection sectors.

COOPI is currently implementing several projects in East Sudan (Kassala and Gedaref States) supporting Ethiopian refugees and host communities mainly in the WASH sector.

 

Under the framework of the on-going projects, COOPI is looking for qualified and competent person in the sector of Logistic Management.

 Duties and responsibilities:

Under the direct supervision of the Area Administrator, the Senior Logistician is expected to provide his/her professional technical experience to perform the assigned duties along the contract period together with the logistic team.

In coordination with COOPI’s Area Administrator, Area Coordinator and Project managers,

the Senior Logisticia will be responsible but not limited to:

  • Conduct market analysis;
  • Identify and select suitable suppliers and contractors and negotiate contracts and rates;
  • Plan and monitor in/out going deliveries;
  • Work with other departments to incorporate logistics with operations implementing COOPI procedures;
  • Ensure all operations adhere with laws and internal SoPs;
  • Supervise the Logistics staff;
  • Purchase monthly office consumables;
  • Ensure all the needed HR requirements (timesheets, etc.) are available for each of the staff, duly filled, signed and sent monthly to the Administration Office;
  • Manage logistics formats (logbook, digital achieve of procurement etc. );
  • Utilize COOPI Regolo software to proces any procurement files;
  • Draft, and submit to the Area Administrator for approval, a monthly field base request for ordinary and extra-ordinary office/guesthouse running costs;
  • Report to the Area Administrator all needs for new procurament, including furniture, repairs and upgrades needed for the office and guesthouse;
  • Inform on a weekly bases, and when expressely required, the Area Administrator and Area Coordinator on the status of technical activities, including narrative reports when required;
  • Provide all technical inputs for new project proposal requirements and indicative costs for preparing or updating budgets;
  • Cooperate with Area Coordinator to ensure that COOPI security measures are duly implemented by all staff.

 

Fleet Management:

  • Coordinate the efficient and rational use of COOPI vehicles;
  • Duly instruct drivers on compiling daily Loogbook and follow up on timely compilation of the same;
  • In cooperation with drivers, responsible for keeping COOPI vehicles in a good state of maintenance, with car documents updated, and assure vehicles are “ready to leave” at any time;
 Minimum Qualification, Skills and Experience Required:
  • Previous experience in humanitarian field as Logistician or in similar position;
  • Demonstrated experience in procurement, distribution, stock management, fleet management, communications and security;
  • Experience of working within a high pressure and fast-changing environment;
  • Proficiency in English and Arabic;
  • Computer literacy, with high proficiency in the use of software applications and logistics software (Regolo software in particular), Microsoft Word, Excel and Power Point;
  • Strong analytical and practical problem solving-skills;
  • Strong supervisory abilities, and demonstrated capacity of teamwork and of coordination with the relevant actors;
  • Very good interpersonal and writing communication skills;
  • Ability to organise work efficiently and deliver assignments in a timely manner often under time constraints;
