 Background:
Job Purpose

The Capital Logistics Assistant will assume one or several sub-functional areas within the overall responsibilities of the Logistics Department, as defined by the Country Logistics Officer. He/she will report directly to the Country Logistics Officer.

ACTED Logistics Department ensures the supply chain management intended for project implementation in the area, as well as the logistical transversal management such as fleet, fuel, premises, assets & communication management. S/he should ensure compliance of all logistics operations under his/her responsibility with ACTED logistics & donors’ procedures, best practices & national regulations, with an emphasis given to the value for money principle.

Objectives

  1. Contribute to timely, cost efficient & transparent supply chain management in the area
  2. Contribute to timely, cost efficient & transparent transversal logistical management in the area
  3. Ensure compliance to ACTED & donors’ procedures in all logistics operations under his/her responsibility (procurement, stock & delivery management, fleet, fuel, premises, assets & communication management), and actively promote logistics procedures
  4. Contribute to the implementation safety & security guidelines, SOP & plans
 Duties and responsibilities:
Logistics activities management, under instructions from the Country Logistics Officer

  1. Order fuel for fleet and generators and ensure proper fuel management system is in place and fuel records are maintained.
  2. Manage small procurement for offices
  3. Follow up procurement and supplies under guidance of CLO
  4. Send and receive all items related to ACTED activities according to ACTED regulations and policies
  5. Certify the authorized signature on procurement documents
  6. Fleet management and follow up with service provider
  7. Support field offices with same tasks as required

 

Filing and reporting

  1. At the end of each month collect all information regarding each activity of the department and submit them to the Country Logistics officer
  2. Present a monthly report on activities of the department (transportation fuel consumption stock and purchasing done (order follow-up).
  3. Any other issue to be written if necessary

Carrying out other tasks based on need

 Minimum Qualification, Skills and Experience Required:
  1. Preferably degree/diploma or equivalent qualification plus mentioned experience.
  2. At least 1- 2 years’ experience in similar or relevant field logistics with a minimum two years managing, huge and complex distribution in logistics (FOOD, NFI, E-VOUCHER, CASH) within an NGO or International Organisation
  3. Good command of English
  4. Initiative and active problem-solving skills
  5. Proficiency in the use of computers (Excel and Word)
  6. Strong ability to pay attention to detail.
  7. Good organizational, coordination and planning skills
  8. Ability to work and handle pressure
  9. Strong team player
  10. Ability to adapt to new situations and needs
  11. Willingness to travel to remote locations
