Background:
ROLE PURPOSE

This role shall undertake the personnel administration function and ensure the proper handling of the daily administrative and HR duties of the organization. He/ She should assist delivery of end-to-end transactional HR Services for recruitment.

Duties and responsibilities:

Recruitment:
- Assist in recruitment activities, this includes seeking applicants through internal data bank, advertisements, recruitment agencies, or social institutions as appropriate.
- Follow up with HAC (Humanitarian Aid Commission/ Labour offices) in terms of submit the application letters for recruitment.
Personnel Management:
- SAP SuccessFactors H.R.I.S Administrator.
- Ensures that employment files and records are completed and always up to date in accordance with Labour Law requirements.
- Compiles and controls the implementation of annual leave plans, and maintains up-to-date register for annual leaves. Update the HRIS system with staff leave balances and ensure the leave accruals are sorted out with Program Managers based on approvals.
- Administers sick leave records, and liaises with Medical Insurance body “public /private” to refer sick employees for medical check-ups and to receive the medical reports on sick leave needed.
- Ensures accurate timekeeping, and reviews attendance records for Plan Sudan Country Office, Khartoum.
- Issue Medical Insurance Card for staff and Maintains the staff Medical Insurance list and update as needed.
- Issue Plan ID card for staff.
- Performs any other related duties related to the objective or the position as and when required.
Other support
- Ensures that Plan International’s global policies for Child Protection (CPP) and Gender Equality and Inclusion (GEI) are fully embedded in accordance with the principles and requirements of the policy including relevant Implementation Standards and Guidelines as applicable to their area of responsibility. This includes, but is not limited to, ensuring staff and associates are aware of and understand their responsibilities under these policies and Plan International’s Code of Conduct (CoC), their relevance to their area of work, and that concerns are reported and managed in accordance with the appropriate procedures.

Minimum Qualification, Skills and Experience Required:

- Good command of written and spoken English and Arabic languages.
- Good skills in spreadsheet and word processing computer application
- Good skills in computer information and communication.
- Excellent skills in reading, writing, speaking, and listening skills.
- Strong interpersonal skills to cope up with stress and manage work effectively.
Knowledge and expertise
- The post holder is expected to have considerable minimum knowledge of the Labor Law.
- Ability to learning and development
Essential
- Minimum bachelor’s degree in human resources management, administration or relevant field from an accredited university.
- Minimum 1-2 years of experience in a similar position, preferred in an NGO/non-profit
- Well Familiar with SAP SuccessFactors H.R.I.S system and Payroll System.
- Ability to communicate effectively in writing and orally in English
- Well-rounded experience of principles and processes for providing support to employees
- Experience in administrative and clerical procedures and systems
- Works well under pressure and meets tight deadlines.
- Strong phone, email and in-person communication skills
- Computer literacy (MS Office applications, in particular)
- Excellent organizational skills, with an ability to multi-task
- Working knowledge of office equipment (printers, Scanners…etc)
- Excellent time management skills and the ability to prioritize work
