Main Purpose of Job:

 

The Pharmacy assistant will be part of a health team that will support the implementation of the IRC’s health programs in Blue Nile state to delivery of high-quality primary healthcare and reproductive health services.  S (He) will be responsible for overseeing pharmaceuticals distribution and monitoring at the IRC supported health facilities. Responsibilities will include but not limited to day-to-day monitoring of activities, and capacity development of health staff, report making, using Inventory Management Assessment Tool (IMAT), close collaboration with health facility staff and managers. The position is based in Damazine, Blue Nile state.

 Duties and responsibilities:
  • Monitors the availability of medical products to avoid stock-outs and financial losses generated by expired items
  • In close collaboration with the health staff, develops stock levels alert (based on an average monthly consumption morbidity data); gathers stock indicators, analyze them, and discuss with to the Health Officer and country pharmacist so as to avoid stock-outs and the financial losses generated by expired items
  • Applies Good Distribution Practices (GDPs) for pharmaceutical products at storage level, and Good Dispensing Practices in end user units. These include:
  • Documentation verification:
    • Conduct systematic checks of all medical goods received from Khartoum and control their details correspond to the requested specifications and the received documentation
  • Transportation and storage:
    • Ensure transportation of medical goods (including any dangerous goods and cold chain) is done in an appropriate manner and following national regulations
    • Handle cold chain products according to the recommendations of the manufacturer
  • Ensure that cold chain equipment is working properly, and that daily temperature monitoring of cold chain items is in place
    • Ensure that appropriate storage conditions are in place for medicines and advise any need for improvements
    • Ensure controlled drugs are managed according to national regulation
    • Ensure stock rotation according to FIFO (First in First Out) and FEFO (First Expiry First Out)
    • Support in conducting monthly and annual physical stock counts
  • Quality assurance of commodities:
    • Ensure with the support of Country Pharmacist that all offered donations by any partner or others are in compliance with the IRC Quality Assurance Policy
    • Follow-up any claim reports from the field concerning quality with the Country pharmacist and maintains a file with all claims
    • Investigate and put in quarantine any medical product that has been identified as suspect - meaning that it may be counterfeit, unapproved, or potentially dangerous
  • In collaboration with the country pharmacist, ensure that health programs utilize standardized pharmaceutical protocols, policies, and guidelines
  • Ensure that all health activities are consistent with established best practices.
  • Ensure sound data collection are in place for ongoing distribution of pharmaceuticals & monitoring at health facilities.
  • Ensuring medicines are stored appropriately and securely
  • keeping up to date with how to archive current pharmacy practice, new drugs, and their uses
  • checking dosage and ensuring that medicines are correctly and safely supplied and labelled (pharmacists are legally responsible for any dispensing errors)

 Minimum Qualification, Skills and Experience Required:
  • At least Batchelor’s degree as Pharmacist from a recognized medical institution
  • At least 2 years or more experience working in a health program managing drug supply management
  • Ability and flexibility to understand and work within the cultural and political environment
  • Familiarity with the local context: language, culture, etc.
  • Fluency Spoken and written English
  • Basic computer Literacy: Word and Excel will be an added advantage
