 Background:

Medecins Sans Frontieres (MSF) Switzerland is an international non-governmental organization working in the field of medical care in Sudan. We are looking for a qualified candidate to fill in the position of PHARMACY SUPERVISOR Ensuring general functioning of the pharmacy and supervising pharmacy supply chain processes in ac-cordance with MSF standards, protocols and procedures, in order to ensure its efficiency and operating availability.

 Duties and responsibilities:
  • Ensuring storage, stock management and supply processes, as well as hygiene and security procedures, tools, and protocols (controlling pests and rodents), implementing appropriate quality controls and records, in order to ensure good storage conditions (temperatures, humidity and light exposure) and availability of drugs and medical material, according to MSF protocols & DFC, national regulations and in cooperation with the logistics department.
  • Coordinating the delivery, reception and recording of international and local orders, in close coordination with the logistics department, updating stock files and informing line managers on their status (shortfalls, over-stocking, expiry dates), in order to permanently ensure security stock levels and ensure efficient management of stock.
  • Supervising orders of medical and drug material in order to ensure an efficient and appropriate consumption pattern under budget constraints.
  • Supervising the supply of drugs to patients, according to medical prescriptions, informing them on consumption patterns and keeping conditions in order to ensure their therapeutic progression
  • Ensuring efficient supply to other pharmacies managed/supported by MSF according to orders and stocks, and using cold chain when needed. Monitoring and analyzing orders of depending pharmacies in order to avoid ruptures of stock or having expired drugs.
  • Supervising, with the HR department, the associated processes (sizing, staff shifts, recruitment, training, performance evaluation, development and internal/external communication) of the pharmaceutical team and the nursing staff, in order to ensure both the sizing and the amount of knowledge required and to improve their dispensing capabilities.
  • Recording all items received and issued in computer (Isystock) and reporting on drug consumptions and medical equipment dispensed according to protocols, informing on unusual patterns as well as forecasting future needs, in order to rationalize the budget and to ensure availability.
  • Assisting in training of nursing staff regarding dispensing of drugs and their side effects

 

  1. MSF Section/Context Specific Accountabilities
  1. Organization& Storage of Medical Stock
  2. Responsible for storage, classification and organization of drugs and medical material are according to MSF protocols and DFCA regulations.
  3. Responsible for storage conditions are according to national regulations (psychotropic, narcotic …).
  4. Responsible for implementing the MSF pharmacy standard operating procedures (SOP’s) according to Pharmacy Management guideline /MPM will advise, support as needed
  5. Inventory & Medical Stock management:
  6. Support the Line Manager on the process of inventory preparation and during the inventory of Medical stock
  7. Prepare (fill and follow up) the lists of medical items to be destroyed, quantification and their destruction report (together with Warehouse Manager).
  8. Responsible for the management and control of medical “sensitive” items: batch numbers, expiry dates, special packaging and storage, inform WHM/MPM if any variation
  9. Preparation and sending of the pre-expired list of drugs to the Warehouse Manager.
  10. Participate in random check/Flash Inventory in the Medical stock and report any discrepancy to the Line Manager.
  11. Support the line Manager for implementing good practices (GSP/GDP) of stock management in the Medical stock
  12. Medical Orders & Reception:
  13. Support team for Project Medical order preparation
  14. Support in the proper reception of the medical cargos (local & international cargo) according to MSF reception standards and policy, report if any deviations. Especially on the specific product, for example: cold chain, narcotic, and bio-medical equipment.
  15. Participate in the reception of medical donations & cargo follow up.
  16. Quality of Medicine & Medical Materials including cold chain :
  17. Monitor the lists of quarantined medical items together with MPM support and follow the action points report.
  18. Check cold/cool boxes upon reception and the cold chain temperature-monitoring card with the Storekeeper. If the result of the reading is positive, transfer the contents of the cool boxes to the refrigerators, & send the Log Tag data to MPM through line manager, inform if there any variation to line manager.
  19. Ensure the content & the organization of Refrigerators medicine & medical material content to have visibility of the stock /Quality follow up
  20. Responsible for the inventory & reporting of Cold chain breakdown warehouse manager.

 

  1. Archiving.
  2. Responsible for the record keeping of all the controlled drugs.
  3. Support WH Manager /Data Manager to identify Medical products.
  4. Responsible for the Medical Mission Eprep stock follow up including expiry follow up, swapping of pre-expiry items in EPREP kits & updating Kit Management file together with Warehouse Manager monthly.
  5. Coaching and capacity building
  6. Train and coach medical storekeepers as full back up in case of pharmacy supervisor gap.
 Minimum Qualification, Skills and Experience Required:
  1. Education
  • registered pharmacist, essential, degree of pharmacy management.
  1. Experience
  • At least 1-year certified work experience as a pharmacy manager, preferable MSF experience.

  • Mission language and local (Arabic) language essential
