 Background:

The Organization:

Search is an international conflict transformation NGO that aims to transform the way individuals,

groups, governments and companies deal with conflict – away from adversarial approaches and

towards collaborative solutions. Since 2019, Search Sudan designs and implements multifaceted,

culturally appropriate and conflict-sensitive programs using a diverse range of tools, including media

and training, to promote dialogue, increase knowledge and determine a positive shift in behaviors.

 

Team Summary:

The Program Implementation team has oversight for the implementation of Search’s programs and projects in its country offices, in accordance with Search and donor policies and procedures. The Program Implementation team works on the full life-cycle of the project, from the start-up phase to the full close-out. This involves designing work plans, implementing activities, reporting, financial management, and staffing management . The Program Implementation team collaborates with other departments, including Finance, Institutional Learning, Programs, Global Affairs, and Partnerships, Human Resources, and Information technology.

 

The Role:

As a member of the programs team, the Program Assistant will be responsible for providing support to program implementation activities and financial and sub-award management, and external engagement. They will also support documentation requirements for the program implementation and general knowledge sharing.

 Duties and responsibilities:
  • Reporting: develop project documents (e.g., Purchase Orders (POs), Purchase Requests (PRs), etc.) with proper budget-lines, copy and print documents as necessary (e.g., invoices, supporting documents); draft monthly or activity reports; assist project and Design, Monitoring & Evaluation (DM&E) staff in the organizational cleaning of DM&E data
  • Project activities: prepare and coordinate tasks for project activities; manage records and documentation for project activities (e.g., attendance sheet, per diem signatures, pre/post-tests etc.); assist in organizing logistical tasks relevant to project activities (e.g., room structure and setup, participant sign-in, etc.); assist in data collection (e.g., interview participants) as needed
  • Compliance: follow-up on donor and Search compliance
  • Financial management: follow-up on Search logistics and finance policies
  • Sub award management: support in coordination with partner staff and management; support in following up on partner work plan and key deliverables
  • Assist in the development of key procurement materials (e.g., PO, PR, etc.)
  • External Engagement: Contact project participants and beneficiaries as needed. Take minutes of meetings as needed
  • Assist in data entry from pre/post tests and learning tools
  • Support design processes by integrating lessons learned, recommendations and challenges from the field
  • Infuses organizational values into all work
  • Other duties that are broadly in line with the above key contributions as assigned.

  • Responsible to ensure the Safeguarding & Child Protection Policy is implemented and socialized and, promote a culture of safeguarding

 Minimum Qualification, Skills and Experience Required:
  • BS/BA or High School Diploma plus 4 years of relevant experience in lieu of a university degree.
  • Preferred: Familiarity with the geopolitical conditions of the communities of South Kordofan
