|
Background:
The International Committee of the Red Cross (ICRC), an impartial, neutral and independent organisation striving to protect and assist the victims of war and internal violence, has been working in Sudan since 1978. The ICRC is looking for an enthusiastic and motivated person to fill the position of Protection Administrative Assistant in Khartoum.
Purpose:
Protection Administrative Assistant provides secretarial and/or administrative support to the delegation protection department with managing correspondences, entering data, translating documents and following up with financial payments.

Duties and responsibilities:
- Dispatches messages from the RFL STM (message database). Updates and retrieves data in/from specialized tools and databases.
- Opens and prepares tracing mail (bordereau) to/from different ICRC sub delegation and ICRC offices abroad in a weekly base.
- Follows the administrative and financial tasks of the RFL program (clearances, SIM payments).
- Supports Protection colleagues in the organization of events, round tables, trainings. Prepares meetings by setting up rooms and materials, including technical set-up for conference calls, presentations, and video conferences.
- Translate/interprets simple text / meetings for the Protection Coordinator. and interpret simple phone calls (English/Arabic).
- Helps prepare missions from regional visits and the briefing/debriefing of Protection staff incoming/leaving.
- Helps preparing and dispatching letters.
- Creates and maintains paper or electronic files up to date. Supports the update of the Protection share folder
- Updates the timeline, tables and charts, schedule and other tools and ensures invoices are followed up on.
- Carries out secretarial tasks such as making photocopies, destroying documents, and managing stationary stocks.
- Applies information-management instructions and ensures compliance with procedures.
- May be called upon to manage petty cash of up to the equivalent of CHF 3'000 per month as per ICRC accounting/safety procedures.

Minimum Qualification, Skills and Experience Required:
- Bachelor’s degree or equivalent higher education degree in business administration, finance, management or economics.
- Two years of experience in administration, office, or service management, or in a field related to the work of the department or in a secretarial position.
- Previous experience in Data Entry and Translating from Arabic to English and vice versa
- Fluent with a wide knowledge in English and Arabic, Knowledge of Tigrinya an asset.
- Computer skills, including Microsoft Office suite, SharePoint, and IBM Lotus Notes.
- Skilled in the following competencies: Communication (written & verbal), Negotiation, Representing the ICRC; Planning, Organization & Assessment; Responsibility & Autonomy.
