Organisational Setting and Reporting

This position is located in the Contracts Management Unit of the African Union - United Nations Hybrid Operation in Darfur (UNAMID). The Contracts Management Assistant will be based in El Fasher and will report to a Contracts Management Officer or a Team Leader.

Responsibilities

Within delegated authority, Contract Management Assistant will be responsible for the following duties:

  • Provides advice to the Chief of Unit on matters involving mission-wide service contracts.
  • Assists in managing key contracts in support of mission (and regional) operations, which are under the purview of the Unit, with the focus on service contracts for which the Unit is primarily responsible. Service contracts include but are not limited to equipment maintenance/repair, PX operations, Quality Assurance on catering aspects, active UN global systems service contracts.
  • Assists in the preparation of Statement of Work (SOWs) and Scope of Work, Source Selection Plans, requisitions and technical evaluations for all contracts to be managed by the Unit.
  • Carries out programmatic/administrative tasks necessary as required by the Unit, including assisting in the assigning/monitoring performance parameters and critical indicators, reporting on programme performance, preparing inputs for results-based budgeting, evaluating national staff performance, interviewing candidates for job opening and evaluation of candidates for supervision.
  • Carries out the implementation of Standard Operating Procedures and Administrative instructions. Ensures the periodic review and carries out other tasks as and when required by the Chief of Unit.
  • Liaises with other components of the mission as appropriate to ensure an efficient and cohesive approach to managing areas of mutual interest.
  • Assists in the preparation of scope of work, requisitions and technical evaluations for all outsourced services managed within the Unit.
  • Responds to audit observations, as assigned.
  • Carries out other tasks as requested by Chief of Unit.

Education

High school or equivalent diploma is required. Relevant professional training in contract law, business administration, quality and / or supply chain management is an advantage .

Work Experience

At least six (6) years of progressively responsible experience in contract/quality administration/procurement is required.

Relevant experience with regards to supply and management is required.

Experience providing services to or in a field operation of the United Nations Common System or a comparable international organization is desirable.

Languages

English and French are working languages of the United Nations. Fluency in oral and written English is required. Knowledge of Arabic is desirable.

Assessment

Evaluation of qualified candidates may include an assessment exercise which may be followed by competency-based interview.
