Description

This position is located in the Movcon Unit in Juba, United Nations Missions Mission in the Republic of South Sudan (UNMISS). The incumbent will report to the Movcon Officer in the Air Terminal Unit in his/her designate.

Responsibilities

Under the supervision of Movement Control Officer, the incumbent shall perform the following duties:

•Assist in developing passenger and cargo load plans; supervise administrative and loading staff to ensure instructions, regulations, security, and safety measures are enforced. Ensure dangerous goods are transported in accordance with applicable international Dangerous Goods Regulations. Manage and coordinate shipments, including customs clearance;
•Arrange for the movement of inbound and outbound cargo via all modes of inbound and outbound via all applicable modes of transport (air, river, sea, road, and rail), complete cargo manifests and other documentation, arrange customs clearance and related documentation, ensure cargo (including dangerous cargo) is loaded in accordance with International Regulations. Monitor and ensure delivery of cargo and communicate shipping details to all concerned parties;
•Ensure accurate preparation and manifesting of passengers and their baggage or cargo, completion of dangerous goods declaration (if qualified), weighing of cargo, loading and offloading. This includes the physical actions of lifting and carrying baggage or cargo if required. Monitor and ensure delivery of cargo and communicate shipping details to all concerned parties;
•Check-in passengers traveling on UNMISS aircraft to include manifest confirmation/amendments, baggage identification, and weighing, distribution of boarding passes, and passenger briefing.
•Assist in following up on all cases related to misplaced/misrouted / or damaged luggage/cargo and keep the clients updated on Movcon actions;
•Drive vehicles at the airfield in keeping with appropriate licenses while observing applicable speed limits;
•Prepare, compile and maintain the monthly detachment passenger and cargo statistics;
•Board and deplane passengers, while remaining aware of safety procedures standards with respect to aircraft refueling, use of cell phones and approaching aircraft;
•Assist with airfield and air terminal security by ensuring that all passenger baggage or property are scanned and accounted for at the time of check-in; the air passengers remain in designated areas while at the air terminal and all incidents or potential safety or security matters are reported in a timely manner;
•Prepare and process monthly attendance records, MOPs/Waivers, leave requests, F.10 claims, CMRs, e-job supply requests, and other documentation as required;
•Place and screen telephone calls and answer queries with discretion and receive visitors;
•Prepare, process and follow-up on administrative arrangements with respect to staff official travel;
•Manage the required office supplies such as stationary materials and other resources;
•Provide general office support services such as drafting routine correspondence and the distribution to various officials;
•Acts as back-up to International Assistants in executing duties such as organizing meetings and schedules for supervisors;
•Assist the International Assistants with logging all incoming/outgoing corresponding using Lotus Notes Correspondence log/Correspondence tracking log (e-tracking);
•Maintain Unit files as required (both in hard and soft copies), administrative instruction, and other related documentation;
•Other duties as assigned by the supervisor.

Important note: The post requires the incumbent to work shifts or alternate schedules, which will include weekends and evenings.

Education

High School diploma or equivalent.

Work Experience

At least four (4) years of experience in administration/travel related/logistic fields is required.

Languages

English and French are the working languages of the United Nations Secretariat. For the position advertised, fluency in oral and written English is required. Knowledge of languages spoken in South Sudan is an added advantage.

Assessment

Evaluation of qualified candidates may include as assessment exercise which may be followed by competency-based interview.
