Job Purpose:

To assist operations officer and program staffs in arranging logistics, warehouse, fleet management, fuel management, procurement and solve day-to-day bottlenecks in smooth functioning of the MA programs.

 Duties and responsibilities:

Specific Functions and Responsibilities:

Warehouse Management 

  • • Provide support in Bin card and stock card Management (Update and report to operation officer for review) for WFP, UNICEF, Wet feeding and PHC supplies at main warehouse and at feeding centers
  • • Arrangement of stocks as FEFO and releasing stocks as per FEFO
  • • Arrangement of cleaning and guard schedule for main warehouse and at feeding centers

Procurement process

  • • Vendor quotes collection and market survey below SDG 25,000
  • • Vendor follow up for completion of work and payment, collection of initial and final invoices
  • • Tracking of engagement of rental cars and trucks for service delivery and supplies distribution

 

Vehicle maintenance

  • • Support in LOG sheet management (Generator/ Vehicles) / (ensure all information if filled correctly in log sheet and submit them on monthly basis to operation officer
  • • Responsible for vehicle monthly maintenance check (Oil, filter change, minor repairs) by identified and contracted garage
  • • Market survey for vehicle maintenance

 

Fuel and supplies

  • • Will provide support in letter submission / Follow up to ministry of petroleum for gasoline and gas cylinders
  • • Submit Request for Fuel and Receive fuel from WFP
  • • Support of fuel allocation tracking in cars / Generator with the leading of operation officer
  • • Maintain the stock of supplies i.e. Engine oil, filters, batteries…etc
  • • Ensure that office, guesthouse and warehouse has uninterrupted electricity, water, internet and office supplies

 

Utilities and office supply

  • • Support in Utilities / Supply management (Check Balances and raise written report for operation officer to prepare PR for each on monthly basis)
  • • Follow up with landlord/ identified vendors (electrician, carpenters, plumbers…etc) for office fixtures repairs, replacements
  •  • Engage and supervise work of casual workers as and when needed

 

Trainings and Workshop assistance

  • • Support in Trainings and workshops (State capital and in localities)
 Minimum Qualification, Skills and Experience Required:

Essential Requirements

Skills & Knowledge

  • B. Sc. Or Diploma degree in Admin, management, or other related science field is required;
  • Minimum of 1 year relevant working experience;
  • Minimum of 1-year work experience with INGOs.

 

  • Ability to work individually and within a team with limited supervision;
  • A strong team player with excellent interpersonal skills and the ability to work in a fast-paced environment;
  • Ability to communicate technical issues effectively and persuasively;
  • Strength in interpersonal, communication and presentation skills;
  • Ability to multi-task, ability to work under pressure, ability to improvise, flexibility, adaptability to transition;
  • Excellent report writing skills;
  • Good Computer knowledge – Microsoft Word, Excel, Outlook;
  • Language requirements:  Fluency in both Arabic and English is essential.
