JOB PURPOSE:

To ease work for the CEO by offering administrative support. Personal Assistant role is wide ranging from Project managing, organizing diaries, keeping notes and scheduling meetings to setting up conferences and assisting with travel trips, a personal assistant can expect to enjoy a busy but varied day.

PRIMARY RESPONSIBILITIES:

  • Acting as a first point of contact: dealing with correspondence, Visitors and phone calls
  • Managing diaries and organizing meetings and appointments. Record & distribute minutes
  • Prepare communications, correspondence, presentations and other documents on behalf of the executive
  • Coordination and following up for the task allotted to team members
  • Booking and arranging travel, transport and accommodation
  • Organizing events and conferences
  • Reminding the CEO of important tasks and deadlines
  • Typing, compiling and preparing reports, presentations and correspondence
  • Managing databases and filing systems
  • Implementing and maintaining procedures/administrative systems
  • Liaising with staff, suppliers and clients
  • Collating and filing expenses
  • Conducting research on behalf of the manager
  • Organizing the manager's personal commitments including travel
  • Maintaining Confidentiality

KNOWLEDGE, SKILLS & EXPERIENCE:

  • Bachelor's Degree in Social Sciences or Arts.
  • Discretion & Trustworthiness
  • Flexibility, Punctuality & Adaptability
  • Good Oral & written communication skills
  • Organizational skills & multitasking
  • Tact & Diplomacy
